1. Scope and roles
This Privacy Policy applies to the public LeadHub 365 website, the Admin portal, the lead-capture API, the WordPress connector, support requests, and related campaign and tracking services.
For information uploaded, imported, or collected by an Admin through a connected website, that Admin or their organization normally decides why the information is collected and how it is used. LeadHub 365 processes that information to provide the configured service. Website owners remain responsible for giving appropriate privacy notices and obtaining any consent or other lawful basis required in their jurisdiction.
2. Information we process
Account and profile information
When an account is created or managed, the platform may store a name, email address, phone number, country, password hash, role, timezone, status, and account limits.
Website leads and contacts
Connected websites may submit names, email addresses, phone numbers, companies, messages, selected services, page URLs, country information, IP-related metadata, form identifiers, and additional form fields. The complete normalized submission may be stored as JSON alongside a contact record.
Campaign and engagement information
The platform stores templates, contact lists, senders, campaign schedules, recipients, delivery status, unsubscribes, suppression records, and available open or click activity. Open and click measurements are approximate because email clients and security tools can block, cache, or preload tracking requests.
Support and technical information
Support requests may include a name, email, phone number, request category, message, and reply history. Security and operational logs may contain timestamps, IP addresses, browser information, request paths, error details, and authentication activity.
3. How information is used
Information is processed to:
- create and secure accounts;
- receive website form submissions and organize contacts;
- send test messages and Admin-configured email campaigns;
- apply unsubscribe, suppression, sending-limit, and domain controls;
- display campaign and lead activity;
- respond to support requests;
- detect misuse, investigate errors, and maintain service reliability; and
- provide optional AI-assisted analysis or reply drafting when enabled by an authorized Admin.
AI-generated scores, summaries, and drafts are assistive outputs. They are not sent automatically and should be reviewed by an authorized user.
4. Service providers and integrations
Information may be processed by infrastructure, database, email-delivery, security, logging, and optional AI providers used to operate features selected by the account holder. Each provider receives only the information reasonably required for its function and is governed by its own terms and privacy commitments.
Information may also be disclosed when required by law, to protect users or the service, to investigate fraud or abuse, or as part of a business reorganization subject to appropriate safeguards.
5. Data retention
Account and workspace information is generally retained while the account remains active or while needed to provide the service. Admins can delete many records through the portal. Some records may be retained for security, backup, dispute-resolution, legal, or operational purposes. Unsubscribe and suppression records may be retained to prevent an address from being contacted again.
6. Security
LeadHub 365 uses role-based workspace separation, password hashing, per-website credentials, hashed API keys, encrypted connector storage, domain validation, signed tracking links, and transport encryption when HTTPS is configured. No online service can guarantee absolute security, so account holders should use strong unique passwords, restrict administrative access, protect API credentials, and promptly replace credentials that may have been exposed.
7. Privacy choices and requests
Depending on applicable law and the relationship to the platform, a person may request access, correction, deletion, restriction, or information about processing. Recipients can use the unsubscribe link included in applicable campaign messages. When information was submitted to a customer’s connected website, the request may need to be directed to that website owner as the organization controlling the relationship.
Browser settings may block tracking images or cookies. Blocking these technologies can limit some measurements but should not prevent use of an unsubscribe link.
8. Children’s privacy
LeadHub 365 is intended for business users and is not designed for children. Account holders should not intentionally use connected forms or campaigns to collect children’s personal information unless they have established appropriate legal and operational safeguards.
9. Changes to this policy
This policy may be updated when the service, providers, or legal requirements change. The date above identifies the latest revision. Material changes should be communicated through the website, portal, or account contact information where appropriate.

Questions or privacy requests can be submitted through the LeadHub 365 support form. Include enough information to identify the relevant account or connected website, but do not send passwords or API keys.
